February 2nd Enhancements Notification

TeamSideline will release our first set of 2016 enhancements on Tuesday night, February 2nd.

Evolved Sites

In this release we are closing all of the gaps in functionality between our “Classic” and “Evolved” (aka Responsive) sites.  We’ve made a number of enhancements to bring you all of the great features that are currently on our classic sites and enabled them on the new evolved sites.  These include the following:

  • Add the Upcoming Games Gadget to your Home page.  The Upcoming Games Gadget shows the selected number of days’ games scrolling across the center of your Home page.  Activate the gadget under Content > Configurations > General by setting Show Gadget under Upcoming Games Gadget to Yes.
  • Add the Location Gadget to your Home page.  The Location Gadget easily shows if fields or facilities are open or closed on the right-hand side of your Home page.  Activate the gadget under Content > Configurations > General by setting Show Gadget under Locations Conditions Gadget to Yes.  Then control what is displayed as a single default message or set locations to Open or Closed on the Schedules > Locations > Update Condition Status page.
  • Make it easy for your customers to find their schedules by adding the Find Team option to your Home page.  Go to Schedules > Configurations > General and change Show Find Option to Yes.
  • Easily display your Registration Programs on the Home Page by clicking on the Highlight box next to any program on the Programs > Manage Programs page.
  • Enable “Breadcrumbs” for all custom pages created for your site (Breadcrumbs are a navigation aid on your public site that helps customers keep track of where they are on your website).
  • Enable Social Share links on all division schedule and custom pages on your site.  On your public site, your members will be able to click the Social Share link to share not only with FaceBook and Twitter, but also GoogleBookmarks, LinkedIn, Delicious, Blogger, Digg, Reddit, StumbleUpon, MySpace, Tumblr, and Tell a Friend.
  • We’ve made mobile updates on public Standings pages, so all View Options execute as expected.
  • IFrame technology can now be utilized with any Evolved site.  Click here for an article on how to use this functionality.  IFrame technology is a Premium function and must be enabled first to be used on your site.  Let us know if you are interested in using this functionality by sending a note to support@teamsideline.com.
  • The public Calendar now has a short URL available for the organization Calendar subscription.  Your customers can easily copy and paste this URL into their personal calendars to keep up to date with events for your league.
  • Admins can easily adjust the order of the display of all of your Home Page items on Content > Configurations > Home Page Order.  This includes News Items, Programs, Upcoming Games Gadget, Home Page Text, Calendar Items, Find Team Schedules, and Sponsors.

Master Team Rosters

Master Team Rosters allow a team roster to be created for a Master Program and then have that roster follow the team for dependent programs that the team has signed up for.  New updates to this process include the ability for Active Team Members on the Master Team Roster to be automatically included on the Team’s Roster for each subsequent program the Team has signed up for.  Admins will be able to lock and set the rosters all at one time by clicking on the Lock All Rosters button on the 4 Rosters page for each program.

Playoff Position Rounds

More flexibility has been added for Playoff Position Round scheduling.  Once you have created the initial schedule on the 4 Create Schedule page, you can adjust each week’s opponents as needed by using the dropdown for the Home/Away Standings position.  Once you get each week on the schedule just the way you like it, click the Calc & Save button to save your changes.

Officials Assignments

If you are using the Officials Module, you will be happy to know we have updated the Officials Assignment page to alternate colors for each game.  This will make it much easier for you to distinguish who is assigned to each game.  Go to Schedules > Official Management > Assignments and click on the Admin Assignments tab to check out the changes.  Email bruce@teamsideline.com if you are interested in learning more about our Officials Module.

Proof of Birthday Process Improvements

A tedious task for many organizations is collecting and validating a player’s “Proof of Birthday”.  TeamSideline comes with a process to automatically request the “Proof of Birthday” on a player’s Order Confirmation.  This can be accomplished by setting the Birthday Validation field to Yes on the Programs > Configuration > General page.  Once this is set, a Birthday Validation field is added to every player’s account and when an admin reviews the player’s paperwork, the admin can go to the player’s account and select that the player has been Validated on a specific date.  If you find that you prefer not to set this date but you only want to request a “Proof of Birthday” from new players, click the Bday Val Override (Birthday Validation Override) checkbox so only players that do not have a previous enrollment on your TeamSideline site are prompted to provide the necessary paperwork.

Volunteer Registrations

A new option has been added for Individual Youth Registration programs so that Volunteer Registrations can still be placed even if the registration for the players has not open or has ended.  Once you’ve created the Offering on the 2 Configuration page of the program, click the edit icon for an Offering.  Update the Volunteer Registration Start and End dates if you need additional time to enable your Volunteers to signup.

Forgot Your Password?

The “Forgot Your Password?” process will be a little different after the next release.  Instead of receiving your password, you (or your customers) will receive an email with a secure link to reset the password.  We are using improved encryption logic for the protection of your passwords.  Password criteria will still remain the same – your password must be at least 6 characters long, contain at least one alpha character and one numeric character.

Cash Flow Detail by Pgm Report

The ability to pick specific programs has been added to the Cash Flow Detail by Pgm report under Reports > Report Viewer.  This will enable admins to produce better and more concise financial reports that are needed.  Select all programs, just one, or a combination of a few using the checkboxes on the Program dropdown.

Library Image Selection

We have put together four Image Libraries to make it easier for you to use images on your site for News Items, Buy Items, Events, and Programs.  When you see the Image Library icon ImageLibraryIcon, just click on it to access the assortment of stock images we’ve made available to you for any of these four areas within your site.

Medical Release Form for Little League Organizations

Having obtained a copy of the “Official” Little League Medical Release form, we have created a TeamSideline version of this document.  You will now be able to create this document for all of your Little League players, integrating it with their online registration.  After the release, we will be adding this new document to your site under Reports > Mail Merge – look for Official Little League Medical Release.  To try it out, click the Run Mail Merge button and select your current program.  And if you use Team Sites and want to deploy this form to your coaches, go to the 5 Team Sites tab of your program and click the Deploy Form button.

ASA Volunteer/Player Report

A new field “TeamName” has been added to the report required to be uploaded to ASA and in this release we are making the necessary updates to accommodate this change.  You can create your reports for both players and volunteers at Reports > Report Exports and click on the ASA Volunteer/Player link.  Click here if you would like more information on the process to upload your files.

WebMail Updates

If you have your organization’s email postoffice and mailboxes handled through TeamSideline, the WebMail client will be updated with the latest patch for an update to fix some issues that have been problems for our customers.

Please note that the downtime period to enable these enhancements to be implemented will be from 10pm – midnight (PST) Tuesday night, February 2nd.

November 15th Enhancements Notification

TeamSideline will release the next set of 2015 enhancements this Sunday night, November 15th.

Family Cap

For our Youth Registration customers, we now have an alternative to tiered pricing or sibling discounts – Family Cap pricing. Admins will now have the ability to define a Family Cap on a registration program for each registration period type – Early, Regular, and Late.  This Family Cap allows an admin to define the maximum amount a family will pay for all enrollees for the registration program and any linked registration programs.  You can define the specific amounts on the 1 Setup page by updating the Max $ Per Family fields for any Youth Registration program located under Programs > Manage Programs.

Enrollment Information Report

The Enrollment Information Report allows you to export all kinds of data related to your enrollment programs.  Now you will also be able to export all Custom Fields defined for the Volunteer enrollees that have signed up for your Youth Registration programs.  Go to Reports > Report Exports and click on Enrollment Information and select Type=Volunteer to get started.  Move any Custom Field from the left-hand column to the right-hand column, click the Export button, and view the data in Excel.

Please note that the downtime period to enable these enhancements to be implemented will be from 10pm – 11pm (PST) Sunday night, November 15th.

October 29th Enhancements Notification

TeamSideline will release the next set of 2015 enhancements this Thursday night, October 29th.

Evolved – No More Beta!

The Evolved (aka Responsive) platform of TeamSideline has officially moved out of Beta!  We continue to refine the Evolved sites based on great customer feedback.  Below are additional feature updates that have been completed in this release:

  • The standard Current Programs and Upcoming Programs pages now display the Program Image defined on a Program’s 1 Setup page.
  • You can rearrange the order of items on your Home page – Calendar Events, News Items, Sponsor Images, and Home Page Text.  Go to Content > Configurations > Home Page Order and use the site drag and drop feature to move these items into the order you want them.
  • Admins can highlight specific Calendar Events on the Home Page.  Go to Content > Calendar and click the Highlight checkbox for each event you want to really stand out.
  • On each division’s public standings page viewed on a mobile device, your customers now have the ability to filter by a team, adjust the schedule viewing options, and print and/or subscribe to the schedule.

Master Team Rosters

Master Team Rosters allow a team roster to be created for a Master Program and then have that roster follow the team for dependent programs that the team has signed up for.  New updates to this process include having an activity log of all roster changes and the ability to have players be checked as active or not on the Master Roster.

Google Analytics

You can now add your TeamSideline site to your free or premium Google Analytics (GA) account to get better insight into the pages your site visitors are viewing.  Once you have your GA tracking code, go to Administration > Configurations > Analytics & SEO page and type it in the Google Analytics Acct field.  In a few hours you’ll be able to start seeing data about your site.  (With this new GA integration, the current Administration > Site Metrics page will be obsoleted.  The old Site Metric data process will be available through 12/31/15 and no longer be accessible after 3/1/2016.)

Social Media

In addition to Facebook and Twitter, you can now add your organization’s Instagram, YouTube, and Google + pages to be displayed at the bottom of your public facing pages and in all emails sent from your TeamSideline site.  Go to Content > Configurations > General and type in your organization’s appropriate Social Media website URLs under the Site Social Links section.

WebMail Updates

If you have your organization’s email postoffice and mailboxes handled through TeamSideline, the WebMail client will be updated with the latest patch for an update to improve speed and browser compatibility.

Please note that the downtime period to enable these enhancements to be implemented will be from 10pm – midnight (PST) Thursday night, October 29th.

October 1st Enhancements Notification

TeamSideline will release the next set of 2015 enhancements this Thursday night, October 1st.

Volunteer Background Checks

TeamSideline has partnered with Protect Youth Sports to offer those of you using us for youth registration an integrated solution to perform background checks on volunteers that signup to help with your organization.  As your volunteers signup, they will input the information needed to perform a background check.  Once they confirm and place their order, Protect Youth Sports is sent the information and a background check is started. Once the background check is completed, the volunteer’s account is updated and site admins can review the report that is returned.  The cost to your league is $10 for each volunteer background check.  If you are interested in taking advantage of this new feature, email bruce@teamsideline.com.

Sibling Discounts Enhancements

Sibling discounts currently can be applied within a program when a customer signs up two or more children on the same order.  We’ve added a few variations to make this more flexible:

  • Sibling discounts can now be enabled across programs.  Say you have a football and cheer program or softball and baseball program and you would like to be able to give a discount to the second child in either program. Go to the 1 Setup page for any program and for the Sibling Discount field, click on the link Click here for Advanced Options.  Once you connect the programs, a link icon will display to let you know the programs are connected.
  • Once a customer has placed an order for one child, any subsequent orders for additional children for the same program will have the sibling discount applied.
  • Some programs have offerings that are not included as part of a sibling discount calculation.  Once you’ve created the offering, click the edit button to select the checkbox for Disable Sib. Discount to have the offering excluded.

Store Purchases

Store purchases can be setup on your site (Programs > Store Setup) at any time.  We’ve added some new options that will be very useful:

  • Now the items that can be purchased by your customers can also have an input text field associated to them so you can, for example, collect a name or number to be added to a shirt that is being ordered.
  • You can also add a second variation to an item being purchased which means that you can ask for size and color using dropdowns associated with the item – price adjustments are also available with the additional variation.
  • Admins will have the ability to add Special instructions for a store item, so you can let your customers know information like where the pickup location will be for their item.  All of the above items can be updated at Programs > Configurations > Buy Items.
  • The ability to cancel a Store item purchase has now been enabled.  Go to the Account Overview page of your customer, click on the spy glass icon to open up a store purchase they made, then click the red x to cancel the order.  Remember to also to complete the refund transaction by clicking the Add Transaction button on the Account Overview page.

Copy Program for Team/Roster Programs

The Copy Program functionality has been enabled for all Team/Roster Registration Programs.  Being able to just start your new program with a copy of your last season’s setup will save you lots of time.  Once you complete the initial copy on the Programs > Manage Programs page by using the Copy Program button, go to the 1 Setup, 2a Team Configuration, and 2b Roster Configuration pages and make any adjustments that are needed, paying particular attention to the date fields.  Do a quick preview on the two Preview tabs, make the program visible on the Programs > Manage Programs page and you’re done.  Also, if you have divisions already created in the associated schedule for this program, when the league is created, the divisions will be also.

Copies of Order Confirmations

You can now send copies of order confirmations made on your site to many different email addresses, making sure the information is getting to the right person right away.  Update the Order Copy To field for the following scenarios:

  • For any type of order (program, store, or facility) that is placed on your site, update Administration > Configurations > General.
  • To receive copies for any program, make your update at Programs > Configurations > General.
  • For a specific program only, update the 1 Setup page for that program.
  • To receive copies for any store purchase, make your update at Programs > Configurations > Store.
  • For a specific store purchase, go to Programs > Configurations > Buy Items, click the edit icon for a buy item, and enter the email address.
  • To receive copies for any facility reservation, make your update at Facility Reservation > Configurations > General.
  • For a specific facility, go to Facility Reservation > Facilities, then update the Reservation page for that facility.

Evolved Site Layout Updates

TeamSideline sites using the new Evolved layout will now have the opportunity to add Sidebar Links on the right hand side of their home page.  The number of News Items per row on your Home page will automatically adjust from four to three if you add a Section with a Display Location = Right.  Go to Content > Configurations > Sidebar Links and add or edit a Section to take advantage of this new feature.  Surveys will now also be displayed in the new format – you don’t need to do anything – it will happen automatically.

Sidebar Display Locations

The Sidebar Links now have the ability to have sections displayed on the Admin Site Map or the User Site Map.  If a section is displayed on the Admin Site Map, only admins on your site who are logged in can have access to the visible links in this section.  If a section is displayed on the User Site Map, when your customers log in they will be able to have access to the links that you define – these could even be Standalone pages you have created just for your customer base.  Go to Content > Configurations > Sidebar Links and add or edit a Section to use these new features.

Team Site Files

Staff members for team sites can now upload up to five documents to each of their individual team sites, thus enabling team parents the ability to view these documents anytime they are logged in to their TeamSideline Team Site account.  These documents will be viewable under the Files tab for each team.

As an organization site admin, you can also enable your program team sites to have a direct link to your public Downloads page – this is also viewable under the Files tab for each team.  To enable this feature, go to Programs > Configurations > Team Sites and change Show Link to Yes.

Hockey Game Scorecard Report

Under Reports > Report Viewer, there is a new report called Hockey Game Scorecard.  If you are taking registrations through your TeamSideline site for a hockey league, you will now be able to create a Scorecard with the date, location, and roster information already populated.  Once you get to the Report Viewer page, select Schedule > Teams > Hockey Game Scorecard from the dropdown list and click the Go button.  Select your League(s) and Division(s) then click the Preview button.  Once the report is generated online, you can Export the report to a PDF file to print or email.

August 3rd Enhancements Notification

TeamSideline will release the next set of 2015 enhancements this Monday night, August 3rd.

Coach Sign In for Game Changes and Entering Stats

As an admin for a Premium site, you can now allow your coaches to sign in to make changes (date, time, and location) to their own games and also to enter their players’ stats.  Go to Schedules > Configurations > General and change Schedule Changes to Yes and Stats Entry to Yes to enable both new features.

Evolved – Stats

Stats will now be available on all our public Evolved sites.  Click on the orange See Stats button on any device to see the Stats for that division.

Game Suspension and Card Tracking

Part of our Adult Team Manager/Roster Registration package is the ability to track game suspensions and game card violations (ex. yellow and red cards in soccer) for each player.  Two enhancements have been added:

  • The ability to create a report that lists all suspensions and game card violations.  Go to Reports > Report Exports and under the Customer section, click on Card Tracking Detail.  Select the Program, the Date Range, and click the Export button to create a report you can view in Excel.
  • When one of your customers logs into your site and they have a suspension and/or a game card violation, they can click on My Account > Card History and be able to view the details associated with the infraction(s).

Click Tracking for Communications

For our Premium customers, you already have the ability to see when one of your email recipients’ views an email you’ve sent.  Now we’ve also implemented Click Tracking that displays the date and time any link in the sent email was clicked.  You can set these options for the emails that you send on the Send Options page when starting at Communications > Send CommunicationNote: Read Tracking is automatically checked unless you uncheck it on this same page.  If you are interested in learning more about our Premium upgrade, please email bruce@teamsideline.com for more details.

Communications System Log

This release will allow you to not only narrow down the emails you are searching for in the System Log by date but you can also search this date range by a specific email address.  Go to Communications > Communication Logs > System Log, type the email address you are looking for in the To Address field, and click the Update button.

Once a Year Add-Ons for Everybody

If you are creating registration programs you can create an Add-On that is a once a year purchase, like US Club Fee for soccer.  The “year” is based on the Program Season year defined on the 1 Setup page for each program.  When you are creating your Add-Ons on the 2 Configuration page, select 1 per Season Year for the Required? field.  Your individual customers will pay the fee the first time they enroll for the year and then the next time they signup within the same year, the fee will not be added to their cart during enrollment.

Add-Ons for Volunteers

If you are creating registration programs and need the ability to offer your volunteers the opportunity to purchase an item such as a background check, with this release you will be able to add this type of purchase for them.  Go to Programs > Manage Programs, click the name of the appropriate program, click on the 2 Configuration tab, scroll down and click on the Add Add-On button.  Select the Offering(s), set the Enrollment Type to Volunteer, select the Buy Item, whether the purchase is required or not, then click the Add button.  Now when they go through the registration process, they will have this item added to their cart if it’s required or if not required, they selected it.

Enrollment Dashboard

For all of our Registration customers, the new Enrollment Dashboard, located under Reports > Report Dashboards, has proven to be a popular addition.  We continue to improve and build more functionality into its features.  This release we are adding the Enrollment Type as one of the Dashboard Configuration selections.  This will allow you to further refine the displayed list by Player, Volunteer, etc.

Multiple Refunds on One Order

Today only one refund can be processed on each credit card purchase.  Now you will be able to process multiple refunds on any order up to the value of the purchase – as many times as you need to.

Team Registrations

When creating a Team Registration, you will be able to automatically create the League’s Divisions at the same time you create the Offerings.  On the 2 Configuration or 2a Team Configuration page, click the Add Offering button and for the Auto Placement dropdown, select Create new Division. The Division will be created and any team signing up for the Offering will automatically be placed in this new Division.

Youth Team Roster Reporting

Individual teams with youth players can print out their own rosters once they log into a TeamSideline site and now you as an admin can print out these same rosters in a batch – by League, by Division, or by one or more Teams.  Go to Reports > Report Viewer, select Basic Roster Print Out under Schedule > Teams, and click the Go button.  Select the League(s), Division(s), and Team(s) then click the Preview button.  Select Acrobat (PDF) file on the Export to the selected format dropdown and click the Export button to create a PDF file that you can send to a printer.

Domain Postoffices, Mailboxes, and Group Mailing Lists

If your organization has a Domain Post Office provided by TeamSideline (Communications > Mail Administration > Mailboxes), in addition to creating and maintaining your own mailboxes, you can now easily choose to save or not save the email messages received in mailboxes that have been redirected to personal email addresses.

  • If the icon is green GreenSaveEmailIcon, this means that emails that are being forwarded to a personal email address and are also being saved in the mailbox.  This can add to your organization’s storage cost and require that you periodically log into WebMail to clean up your online Inbox.
  • If the icon is red RedSaveEmailIcon, email messages are being forwarded and a copy is not saved in the mailbox.

If you create a Group List (example: board@yourdomainname.com), you can now enable or disable the list by click on the eyeball icon – green GreenEyeballIcon means the list is enabled and red RedEyeballIcon means the list is disabled.  Go to Communications > Mail Administration > Group Lists to make any changes.

Facility Management Reporting

The Facility Management Module now has a new report that allows you to report on the transactions that have flowed through your organization during a particular timeframe, subtotaled by each different transaction type (ex: Misc – Credit, Payment – Cash, etc) and includes a subtotal by each parent Facility Name.  Go to Reports > Report Viewer and run the Cash Flow Detail by Facility report located under Customer > Accounts. Control Visibility for Multiple Divisions All at Once

Premium customers will also be able to change the visibility of multiple divisions (change the red eyeball to green and vice versa) all at one time.  On the Schedules > Leagues & Divisions page, click the Update Multiple Divisions button.  Select the Update Type of Visibility, select the Divisions to update, and finally set the First Half and Second Half dropdowns as needed.

News Item Content Editor

When creating content for a News Item, all characters are counted towards the total limit of 3000 including HTML characters that the system adds in for formatting.  If you do a copy/paste from Word, there are usually a lot of these background characters added that you can’t see.  We’ve added a counter on the News Item Description field to help you see the number of total characters that are currently being used.  Look for Characters including HTML: xxx of 3000 under the Design/HTML/Preview tabs.  You can find this functionality under Content > News Items and either click the Add News Item button or click on the edit icon Edit for any already existing News Item.

TeamSideline will release the next set of 2015 enhancements this Wednesday night, June 3rd.

Enrollment Dashboard (beta)

For all of our Registration customers, a new feature has been added to your TeamSideline Admin Site Map – an Enrollment Dashboard, located under Reports > Report Dashboards.  This Enrollment Dashboard lets you view a Program’s list of enrollees, displaying any number per page or all enrollments at once.  You can also add up to three additional columns to the dashboard and click on any column header to sort the displayed list by that column.  To go directly to a customer’s enrollment, click on the name of the Enrollee or use the More Options icon MoreButton to select the customer’s Account page you would like to go to.  Future enhancements include being able to save a Dashboard Configuration, advanced filtering, and pinning a Dashboard Configuration to the Admin Site Map.

Domain Postoffices and Mailboxes – Group Mailing Lists

If your organization has a Domain Post Office provided by TeamSideline and you currently manage group mailbox lists, you can now create and maintain your own Group Mailing Lists within your TeamSideline site.  This will allow you to setup a specific email address (ex. board@yourdomainname.com) that if you send an email to this email address, it will forward that email to everyone linked to this email address.  Go to Communications > Mail Administration > Group Lists (yes, we moved this functionality from under Administration to Communications).  Click Add Group List and type in the name of the Group Email Address you want to create (ex. board) – your domain name will be automatically added.  Once the Group List is created, click Add Redirect to add all of the email addresses you want to have the emails forwarded to.  Click the Edit to add or remove email addresses for each Group List and click the red x icon to remove a Group List.

New Playoff Type – Position Rounds (aka Round Robin)

For our Tournament Module customers, we now have available Position Round Playoff Types (1 to 4 games and up to 20 teams).  This is a Round Robin type of playoff where each team plays every other team.  Go to any division’s 1 Configuration > Scheduling page and select the appropriate Playoff/Tournament Seed Method.  Email bruce@teamsideline.com if you are interested in adding the Tournament Module to your current site configuration.

Auto Coach Scoring

Auto Coach Scoring is a fantastic Premium feature that lets organizations automatically send emails to their coaches so these coaches can input the scores right after a game has been played – no longer do scores need to be phoned or emailed in to someone else do the actual posting.  Now it’s even better!  Auto Coach Scoring is now available for all playoff games and for all games created in our Tournament Module.  You can enable Auto Coach Scoring for a division on the 1 Configuration > Scoring page.   Email bruce@teamsideline.com if you are interested in learning more about our Premium package or the Tournament Module.

Roster Management

For organizations that use Team Registration plus Roster Registration, current managers and coaches plus site admins will now be able to add coaches to rosters and enable them to manage those rosters.  Once you’ve added a coach to your roster, click the pencil icon and change Roster Edit from No to Yes and click the Save button.  Any coach that has roster access will have a visual indicator next to his/her name for quick reference.

Variable Pay Team Registrations

Building upon our last release where we enabled the ability for a coach to set each player’s fee for a Team Roster Registration, organizations can now collect an upfront deposit when the team initially signs up for their league.  After you’ve created your Variable Pricing program, go to the 2a Team Configuration tab and set the Deposit amount for the Offering.  If you are interested in Team Roster Registration, email bruce@teamsideline.com for a demo.

Mail Merge and Embedding Enrollment Pictures

The Mail Merge function under Reports allows admins to create integrated reports of youth and adult individual registration data.  If you have programs that require your participants to upload their pictures, you can now include these pictures in the output.

  1. The first step is to include the uploaded photo in a report.  Go to Reports > Mail Merge and either create a new document (click the Add Document button) or edit an existing document (click the pencil icon).  Put your cursor on a spot within your document, click the Links dropdown, scroll down until you see Mail Merge, click the plus sign next to Mail Merge, scroll down some more until you see {Enrollee Picture} or {Enrollment Picture} and click on it.  This will mark the spot in your document where the uploaded picture will display when your merged report is created.
    • When should you choose {Enrollee Picture} vs {Enrollment Picture}?  Choose {Enrollee Picture} if each player has uploaded their picture to their profile.  Choose {Enrollment Picture} if the picture is uploaded during the checkout process.
  2. The second step is to create the merged report.  Go to Reports > Mail Merge and click on the Run Mail Merge button.  Select the Document, the Enrollment Type, the Program, the Offering and Date Range if needed, and click the Run button.  The merged report will display and you can use your browser’s Print function to either send the report to a printer or to a PDF document creator.

Give the Mail Merge function a try even if you don’t upload pictures for your registration programs – you’ll be surprised at what a powerful feature it is.

Officials Module

Two new enhancements have been implemented for the Officials Module:

  • The ability to set the Published Through Date in one easy update.  Go to Schedules > Official Management > Assignments and click the Published Through Update button.  Set the Publish Through date, select the Divisions, and click the Save button.  All selected divisions have now been updated all at once.
  • The addition of two new fields – Total Games and Avg Payment Amt Paid – to the Officials Batch Report located under Reports > Report Exports, located in the Schedule section.  Once you’ve selected the Batch Name, move these two new fields over from the left to the right in the Columns.  Does the report look the way you want? – then make sure you click the Save Report button so you can use the report for future use.

Facility Management

A few enhancements have been made to the Facility Management Module:

  • Custom versions of the Reservation Information Report can be created and saved.  Located under Reports > Report Exports and the Facility Reservation section, once you’ve created the ideal report, click on the Save Report button, type in a Report Name, and click the Save button.
  • If you need to change the date and/or time of a current Reservation, just click on the edit icon for the specific Reservation, adjust the date and time, and click the Save button.  You no longer need to cancel the Reservation and place the order again.

Coupon Codes

Admins can now use a coupon code that has been defined for a specific program or facility during the checkout process.  On the Checkout page, click the Apply Coupon button, type in the appropriate code, and click the Apply button.  The Offering costs will be adjusted accordingly – and remember, “Add-On” purchases are not affected by the coupon codes, only the Offering costs.

Account Reconciliations

Reconciling your customers’ accounts is important to get cash flow reports to accurately reflect money coming in and out of your organization.  Improvements have been made to the Auto-Reconciliation process for both cancellations and refunds.  When you enter a refund via the Add Transaction button on a customer’s Account Overview page, the system will automatically match the refund to the cancellation.  When you are on the Reconcile Account page for a customer and there are unreconciled transactions, click the Auto Reconcile button to have the system automatically match up offsetting transactions or you can manually add the refund to the cancellation transaction yourself.

Customer Accounts with a Balance

For sites with the Registration Module, on the Communications > Send Communication page, you have always been able to easily send an email to a group of customers that owe your organization money by selecting Accounts with Balance under Customer Accounts.  Now if you expand this list, you will now be able to see each primary customer’s name listed and the amount they owe.  This will allow you to select specific individuals if you need to narrow down your email distribution.

Domain Postoffices and Mailboxes

If your organization has a Domain Post Office provided by TeamSideline, you will no longer be using the MailEnable Mail Admin interface.  You will also notice that the Mail Admin link under Admin Sidebar Links is no longer there.  To update or create Mailboxes, go to Administration > Mail Server.  On this page you will see your Post Office listed and all the Mailboxes already associated with your domain.  Click Add Mailbox to add new mailboxes, click the pencil icon to add or remove redirect email addresses for each mailbox, click the green icon to reset a mailbox password, and finally, click the red x to remove a mailbox.

Team Site Publishing

Individual youth registration programs have the ability to create Team Sites that enable the teams you have formed to have their own website where they can communicate with each other – coaches and managers to parents.  Performance enhancements have been made so that the admin page (5 Team Sites under Programs > Manage Programs) responds quicker when you are creating your Team Sites, enabling you to complete this task more quickly and efficiently.

Site Pages

After this Release, you will be able to customize the tabs on your public website to go directly to any web address (URL).  Go to Content > Configurations > Site Pages and click on the Add External Tab button.  Type in the Tab Name and the External URL (web address) – make sure you start the web address with either “http://” or “https://”.  The new entry will be added to the end of your current tabs – click on it and drag it to wherever you want it in your menu tree.  Now when your customers click on this new tab, they will go directly to that URL.

Scheduling Performance

As TeamSideline continues to grow, keeping site performance high becomes key.  Recently we noticed that creating a schedule was sometimes taking a longer amount of time than it should.  We narrowed down the processes contributing to this issue and made adjustments to create significant performance improvements.  You should be able to now click the Calc & Save button and have the system respond back to you more quickly.  We will continue to monitor processing times to further refine and improve these processes.

Please note that the downtime period to enable these enhancements to be implemented will be from 10pm – 4am (PST) Wednesday night/Thursday morning, April 29th/30th.

Server Maintenance

Our production servers will be patched during this downtime to apply important updates to keep our servers up on the latest and greatest OS version, thus allowing us to keep your sites running smoothly and safely.

Registration

If your customers are enrolling the same person in multiple offerings within a program (ex. choosing multiple weeks for the same child for a summer camp), they will no longer have to fill out the same enrollment fields for each offering.  This will speed up their ability to enroll and will eliminate data redundancy.

Customers Creating a New Account

If you add “Editable” Account or Parent Custom Fields (Administration > Configurations > Custom Fields) to capture information regarding your primary account holders, now when those customers register for the very first time, they will be prompted to enter in this information.  This will eliminate the need for them to go back to their Profile page and enter in this data later.

TeamSideline will release the next set of 2015 enhancements this Saturday night, March 21st.

Evolved Layout

The new Evolved Layout has become more robust with each of our releases.  This release includes updates for Facility Management, Activity Registration, and the Store.  Check out some of our newest sites that have moved to the Evolved Layout: Albany Sports, MSCR Youth Soccer, Lancaster Youth Softball, Placer Youth Soccer Club.  For those organizations who want to move to the Evolved platform, let us know if you are interested in our new level of service for this platform – Professional Webmaster Services.

Registration Enhancements

For our registration customers, we’ve added a number of enhancements for you in this release:

  • Enable Pay Balance – if you have your site enabled for the Enable Pay Balance feature (Programs > Configurations > General > Enable Pay Balance = Yes), your customers with outstanding balances can pay what they owe you online with a credit card.  If they choose to pay less than the total amount that they owe you, they will be able to choose the specific program/offering that they want the money applied to.
  • Partial Payments – you can now setup your programs and enable your customers to make a partial payment by a fixed dollar amount or by a specific percentage off.
  • Order Confirmation text – add specific order receipt text to the bottom of the Order Confirmation email that is automatically sent to your customers when an order is placed.  You can update this on the 2 Configuration page of any program – just click the Edit Order Receipt Text button.
  • Discover credit cards – All TeamSideline sites using NDMS or Authorize.net as their credit card process will now have the capability to accept Discover credit cards for any purchases made on their site.
  • AMEX credit cards – All NDMS and Authorize.net TeamSideline sites now have the option of accepting American Express credit cards on their site.  If you’re interested, please email support@teamsideline.com.

Team Roster Registrations

Sites using the Team Roster Registration registration program type will now be able to have their Team Managers sign up their teams – and when adding each player on the roster, specify the amount each team member pays toward the team registration.  This means when the player registers online to be on the roster for that team, the player will pay the amount specified by the Team Manager.  Admins will also continue to have the ability to set the amount but there is now additional flexibility if this is needed for the leagues that your organization runs.  If you are interested in Team Roster Registrations, email bruce@teamsideline.com for a demo.

Youth plus Adult Registrations

For our Activity Registration customers, after this release you will be able create one program for both youth and adults.  This is the type of program that can be used for events like 5k races where both adults and children will sign up.  To create this new program, go to Programs > Manage Programs, click the Add Program button and select the new registration type Youth & Adult Registration to get started.

Schedule Calendars

Your members will now be able to sync their devices with game times and schedule changes.  On every public facing Schedule page, there are iCal compliant subscription links available which can be used for all teams or for just one team.  To use this function, go to one of your public facing Schedule pages, click the Subscribe button, select and copy the link you want.  You can then use your calendar client (ex. Google Calendar or Microsoft Outlook) “Subscribe to URL” feature to paste the link which enables the linkage.

Practice Schedules

If you’ve setup a practice schedule and there is a scheduled game at the same time, you will get a warning on both the practice and regular schedule pages that there is a conflict.  You can review any division’s practice schedule by going to the 4 Create Schedule > Practice page or review any division’s regular schedule by going to the 4 Create Schedule > Regular page – on either page any conflicts will display.  To enable this functionality, go to Programs > Configurations > General and set Practice Conflicts = Yes.

Tournament Module

For our customers using the Tournament Module, team conflicts can now be created and added to any schedule.  Once you add a conflict, the 4 Create Schedule page will display a warning message if the current schedule violates any conflict that you’ve entered, making it easier for you to make any necessary schedule adjustments.  Email bruce@teamsideline.com if you are interested in learning more about the Tournament Module.

Team Site Enhancements

  • Team sites currently have a limit of eight stats that can be added to any specific site.  After this release, you can add up to 12 individual stats for each team.
  • Leagues can lock down Team Sites to prevent individual teams from adding players to their rosters and circumventing the normal league signup process.  However, this was also preventing parents and coaches from updating vital team contact information.  The functionality has been modified to allow edits to contact info like phone numbers and addresses.  This will also enable teams on leagues that have the “Limited” lockdown in place to take advantage of the team texting capability.  Set the Staff Edit functionality at Programs > Configurations > Team Sites.

Add a BCC to your League Communications

For every email sent out by an admin on your TeamSideline website, you can now have anyone you want automatically BCC’d on those communications.  Go to Communications > Configurations > General, click the Add Communication BCC button, type in the Email Address, and click the Add button.  Add as many BCCs as you’d like – there is no limit.

Clickable News Items

You can now add a link to the image you display for any News Item.  Go to Content > News Item and when you add or edit a News Item, you can select an Image Link Type and then set the appropriate webpage or document you want to link to.

Facility Management Add Ons

For reservations that have Add-Ons that have already been ordered, an admin will now be able to cancel and remove the Add-On as needed.  Go to Customer > Account Management > Search and search for the specific customer.  Click on the customer’s name to go to the Account Overview page, select the Reservations tab, click the edit icon for the reservation you need to modify, click the red x to remove the Add-On, and click the Save button.

Contact Us

The Contact Us standard site page can now be added to your site pages.  Go to Content > Configurations > Site Pages, right click on Menu Pages, scroll down to Add Standard Page and select Contact Us.  Move it to wherever you want in the page structure and then click the Save button.

Please note that the downtime period to enable these enhancements to be implemented will be from 10pm – Midnight (PST) Saturday night, March 21st.
